The Recruitment Coordinator provides operational and administrative support to the recruitment team throughout the placement lifecycle. This role is responsible for coordinating onboarding, scheduling, travel, documentation, and payroll-related processes while ensuring a positive experience for physicians, clients, and internal team members. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities in a fast-paced environment. This position works closely with recruiters, physicians, clients, and internal departments to support successful placements and ongoing assignment management.

Key Responsibilities 

Physician Onboarding

  • Coordinate onboarding for newly placed physicians.
  • Collect and track required documents, including employment and payroll forms.
  • Ensure timely completion of onboarding requirements and maintain accurate records.

Scheduling & Assignment Support

  • Coordinate physician schedules and availability.
  • Prepare and distribute assignment and confirmation documents.
  • Maintain accurate placement, contract, and scheduling information within company systems.

Travel Coordination

  • Arrange physician travel, including flights, hotels, and rental cars.
  • Communicate itineraries and manage travel updates as needed.
  • Ensure travel arrangements align with assignment requirements and company guidelines.

Payroll & Administrative Support

  • Collect and process timesheets and reimbursement documentation.
  • Partner with payroll and recruiting teams to ensure timely and accurate payments.
  • Maintain organized digital records and support reporting needs.

Operations Support

  • Update databases, contracts, and assignment records.
  • Assist with compliance and client-specific requirements.
  • Identify opportunities to improve processes and operational efficiency.

Qualifications

  • Bachelor's degree preferred or equivalent professional experience.
  • Prior experience in staffing, recruiting, healthcare, or administrative support preferred.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficient with Microsoft Office and database systems.
  • Resourceful, adaptable, and able to work independently in a team-oriented environment.
  • Professional, service-oriented approach with strong relationship-building skills.

Compensation & Benefits

  • Base salary range is between $50k-$60k plus long-term incentive opportunities.
  • Location flexibility (remote/hybrid) may be considered based on business need.
  • 401k retirement plan with a 3% employer contribution (not contingent on employee participation).
